How to Process a Refund

Overview

If a customer is unhappy with their food or there was a billing error, you can process a refund directly from the Sales Report. This action is secured and requires supervisor authorization.

Prerequisites

  • User Permission Required: process_refunds
  • Authentication: Supervisor Staff ID and Password

Step-by-Step Guide

  1. Initiate Refund Locate the order in the Sales Report list and click the Red "Re" (Refund) Icon in the Action column.

  2. Review Order Details A popup will appear showing the Order ID, Customer Name, and Items. Verify that you have selected the correct transaction.

  3. Enter Refund Details

    • Refund Amount: Enter the specific amount to be returned to the customer. You can process a partial refund or the full amount.
    • Reason for Refund: Type a mandatory reason for the audit log (e.g., "Taste is not good," "Wrong item served").
  4. Click Process Refund Click the confirmation button at the bottom of the form.

  5. Supervisor Authentication A security window labeled "Supervisor Approval Required" will appear.

    • Staff ID: Enter the ID of the manager or supervisor authorizing the refund.
    • Supervisor Password: Enter the secure password.
  6. Finalize Click Verify & Process Refund.

Outcome

The system updates the payment status of the order, records the refund in the financial reports, and logs the reason for audit purposes.
