Future Booking Orders

Overview: Future Booking Orders

The Future Booking Orders feature allows the restaurant to accept and manage orders scheduled for a later date or time (for example, a catering order next week or a birthday pre-order).

To keep the main operations dashboard uncluttered, these orders are separated from the "Current Orders" list until they are ready to be processed.

Key Features

  • Dedicated Tab: Future orders live in a specific section, accessible via the toggle at the top of the dashboard.
  • Delivery Date Indicator: Each card clearly displays the Delivery Date (e.g., 11/12/2025) so staff know when the order is due.
  • Full Functionality: You can Modify, Pay, or Cancel future bookings at any time prior to the due date.

How-to Guides

Guide 1: Accessing Future Orders

Objective: Switch the view to see upcoming scheduled orders.

  1. Navigate to Order Management: Open the main tracking screen.
  2. Locate the Toggle: At the top right of the page.
  3. Click "Future Booking Orders":
    • The dashboard refreshes to show only orders scheduled for future dates.
    • To return, click the "Current Orders" toggle to view today's live orders.

Guide 2: Activating & Confirming a Future Order

Objective: When the due date arrives (or prep should start), confirm the booking so items are sent to the kitchen.

  1. Locate the Booking: Find the scheduled order in the Future Orders list.
  2. Click Confirm: Click the blue Confirm button on the card.
  3. System Action:
    • The system generates the KOT (Kitchen Order Ticket) and routes items to the correct stations.
    • The order status changes from Pending to Confirmed and moves into the Current Orders workflow.

Guide 3: Processing Payments for Future Orders

Objective: Take an advance payment or settle the bill before the delivery date.

  1. Click Pay Now: On the future order card, click the green Pay Now button.
  2. Select Method: Choose Cash, Card, or Online Payment.
  3. Process: Complete the transaction; deposits are useful for large/catering bookings.

Guide 4: Modifying or Cancelling Future Orders

Objective: Change items or cancel the booking if the customer changes their mind.

  • To Modify:

    1. Click the yellow Modify button.
    2. Add or remove items as requested.
    3. Save the changes.
  • To Cancel:

    1. Click the red Cancel button.
    2. Item Resolution (If applicable): If the kitchen started preparing early, choose how to handle stock (Return to Stock vs Mark as Waste) similar to regular orders.
    3. Supervisor Approval: Enter Manager ID and Password to finalize.

Notes & Best Practices

  • Use advance payments for large bookings to reduce no-shows.
  • Confirm bookings a day before the delivery date to verify menu availability and staffing.
  • Future bookings transition to the regular order workflow once confirmed — all normal rules (KOT printing, inventory deduction) apply.
